Established in 2016, EIT Health receives public funding from the European Institute of Innovation and Technology (EIT). Today, the organization is evolving towards an increasingly self-sustaining financial model, which calls for a scalable, integrated ERP platform capable of supporting both current operations and future growth.

The Challenge: Aligning Systems with Evolving Needs

Before implementing NetSuite, EIT Health relied on a niche software solution originally designed to manage grant distribution. As its mission expanded to include services, commercial offerings, and more complex financial operations, the existing systems were no longer fully aligned with its evolving organizational requirements.

EIT Health needed an ERP platform that could:

• Deliver robust financial and grant management functionality
• Integrate procurement and CRM capabilities
• Align with other EIT entities while accommodating specific operational needs

Together with its stakeholders, EIT Health initiated a comprehensive system selection process. A variety of leading ERP and CRM platforms were evaluated, and NetSuite was chosen for its balance of financial strength, flexibility, and competitive positioning in the public procurement process.

The Solution: NetSuite Implementation by ERP Success Partners

EIT Health partnered with ERP Success Partners based on their deep NetSuite expertise and experience supporting similar organizations. The project was launched in two phases, with Phase 1 focused on:

• Core NetSuite ERP implementation
• A tailored Grant Management System
• Procure-to-Pay (P2P) capabilities
• Foundational CRM functionalities

The implementation began in late 2023 with a discovery session hosted in Munich. Given EIT Health’s complex operational model and localization requirements, ERP Success Partners worked closely with internal stakeholders to accurately map business processes to a scalable system design.

While the scope of the project was ambitious and required significant customization, the timeline remained in line with expectations and reflected the strategic nature of the implementation.

Results and Early Progress

By early 2025, EIT Health had successfully gone live with its Foundational CRM platform and initiated early-stage rollout of its Procure-to-Pay system. These milestones reflect meaningful steps in EIT Health’s broader transformation:

• Procure-to-Pay: Soon-to-be operational, enabling improved transparency and efficiency in procurement workflows.
• CRM: Being progressively adopted across teams, with a focus on enhancing stakeholder engagement, improving collaboration, and enabling data-driven decision-making.

The Grant Management System—the most sophisticated and customized component—is nearing completion and is scheduled for launch later this year. It is designed to support the full grant lifecycle, including application review, fund allocation, and compliance reporting.

EIT Health has taken a proactive approach to change management, with strong executive sponsorship, training initiatives, and internal communications to ensure smooth user adoption and long-term success.

Looking ahead, EIT Health is preparing to launch Phase 2 of its NetSuite journey, with planned enhancements including:
